Customer Statements do not match the aging report



Here is a workaround you can use to print out your customer statements. By using the Mail Merge Feature, a template can be created that will pull the Customer Balance and Aging Detail as of a specific date to show your customers what they owe. (*Requires Microsoft Word (2000, 2002 or 2003). Mail merge also requires Microsoft Excel (2000, 2002, or 2003) installed in order to use the Mail Merge feature.)

Please follow the steps below:
  1. Open Peachtree and open up your company.
  2. Go to Reports, Mail Merge and click on the Customers Folder.
  3. Within the Customers folder, you’ll find a Mail Merge document titled Account Info Verification (you may use any document as your basis, but the Account Info Verification letter to be the most easily adapted). Highlight the letter and choose the Design button from the top menu bar.
  4. Once you are on the Filter Window, click on the Edit button on the far right side of the window. This will open up Microsoft Word and you should have the Account Info Verification template on the screen.
  5. Now you can customize the letter to fit your specific needs. For example, you might delete the entire first paragraph that starts “We have recently….”, and the third paragraph starting “If this amount….” You may also want to delete the Salutation and Signature lines as well.
  6. This leaves only the Company Info, Customer Info and a sentence including the Customer Balance.
  7. Place the Cursor in the body of the letter as if you are beginning a new paragraph. (this is where the Aging Detail will print)
  8. In order to pull the Aging Detail for the customer, you need to choose Customer Aging Fields from the Peachtree Mail Merge toolbar and scroll down to the “Customer Aging Balance All Detail”. Once selected it will show in the body of the letter.
  9. Now choose File, Save As, and save the letter with a new name that can be easily identified (i.e. Customer Statements.doc)
  10. Close Microsoft Word and refresh the Reports window in Peachtree by closing and reopening the window. Go back to the Customers folder and find your newly created letter.
  11. Highlight it and choose Letters from the top menu bar.
  12. Once on the filter screen you can choose the “As of” date as well as any other filter criteria that you prefer. Then select the Word button. This will create a Customer Statement for all customers that meet the filter criteria.
NOTE: You can also choose the Mail Merge Wizard to create a new template for statements. Use the Mail Merge Wizard button on the Select a Report window and select the same data
